Summary
Quick verdict: a clean, flat-priced assistant with a genuinely free start (no card, no clock). Pick it if you want inbox, meetings and calendar handled by one tool; skip it if your tasks live in Notion or Todoist.
- Kai triages Gmail and Outlook, drafts replies in your voice, briefs you before meetings and writes summaries and action items from calls you record.
- It merges Google and Outlook calendars on one grid, flags double-bookings and keeps one ranked task list from calls and email.
- Workflows run on a schedule (for example every morning or every Friday) and send you the result.
- Kai MCP lets you plug it into Claude or ChatGPT. Apps: web, Mac, iPhone and Android.
- Pricing: free one-time trial with no card and no time limit, then Base $20, Pro $50 or Ultra $100 a month. All plans have every feature; they differ only in usage.
- It drafts email and proposes calendar changes; you send and confirm. Its partner page says it does not sync with Todoist, Notion or other task tools today.

Features
From hirekai.ai, hirekai.ai/pricing and hirekai.ai/partners, October 14, 2026. Described, not tested.
- Proactive alerts: flags a thread waiting on you, a double-booking or a task about to slip, on desktop or in the browser.
- Email: sorts Gmail and Outlook, drafts replies in your voice, suggests a task when a thread asks something of you.
- Meetings: briefs before meetings; summaries and action items from Zoom, Google Meet and Teams calls you record, with no bot joining.
- Calendar and tasks: Google and Outlook on one grid; to-dos from calls and email in one ranked list.
- Workflows: scheduled routines that run without you and report back.
- Kai MCP: hand tasks to Claude or ChatGPT with the context of the email or meeting they came from.
Who it’s for
- Founders and solo operators who live in Gmail or Outlook and back-to-back calls.
- Freelancers who want meeting notes and follow-ups without a separate notetaker.
- Small teams that can buy seats month to month (prorated).
- Not for you if your task system is Notion, Todoist or similar and you need two-way sync.

The catch
Usage is not measured in anything you can plan with.
- Plans are “Monthly allowance”, “5x Base” and “10x Base”. The pricing page does not say how many emails, meetings or actions an allowance covers.
- Kai drafts but does not send email for you, and it proposes rather than makes calendar changes.
- No sync with Todoist, Notion or other task tools today (stated on its partner page).
- We have not tested reply quality, meeting summaries or the MCP hand-off.
Verdict
- Free trial: connect one inbox and calendar and use it for a real week. No card is needed.
- Base ($20): a fair start if Kai only handles part of your week.
- Pro ($50): the plan Kai marks as best value, for daily use.
- Ultra ($100): only if you hit Pro’s limit; the page gives no hard numbers to check that in advance.

Worth trying if: you run your week from Gmail or Outlook plus a calendar full of calls, and want one assistant for all of it.
Skip it if: you need Notion or Todoist task sync, or you want an assistant that sends email for you.

Kai FAQ
How much does Kai cost?
As of October 14, 2026, Kai has a free one-time trial with no card, then Base at $20 a month, Pro at $50 and Ultra at $100. Team seats cost the same per seat. Check hirekai.ai/pricing for today’s price.
What is the main downside of Kai?
Plan limits are described only as a monthly allowance and multiples of it (5x, 10x), so you cannot tell in advance how much work each plan covers. It also does not sync with Notion or Todoist yet.
